How much does car rental software cost?

The four pricing models you will be quoted, the costs that hide outside the monthly figure, and how to work out which is cheaper for your fleet.

The four pricing models

Car rental management software is sold in four ways, and the same operation can be quoted wildly different amounts depending on which one a vendor uses.

  • Per vehicle per month — simple, but you pay for cars that are off the road or out of season.
  • Per user per month — cheap for a small counter team, expensive once branch managers, workshop and accounts all need access.
  • Per booking day (usage-based) — cost follows revenue, so quiet months cost less. Usually carries a monthly minimum.
  • Once-off licence — a capital purchase rather than a subscription, typically with an annual support or maintenance component.

What is usually billed on top

The monthly figure is rarely the whole cost. Before comparing quotes, ask specifically about each of these.

  • Setup and implementation fees, including data migration and training.
  • The booking website or booking engine, which many vendors sell as a separate product.
  • API access for brokers, franchises or your own systems.
  • CRM, vehicle tracking and mobile apps, commonly positioned as add-on modules.
  • Extra branches, extra users and support tiers.
  • Payment gateway fees, which go to the gateway rather than the software vendor but still land in your cost per booking.

How to compare quotes fairly

Model twelve months, not one. Take your real booking days or fleet size month by month, apply each vendor's model, and add the one-off costs. A per-vehicle price looks cheapest in August and worst in February; a usage-based price does the opposite. Then check the five-year picture — that is where a once-off licence can win for a large, stable fleet.
